How to Create a GL Account

GL Accounts can be created and maintained in the Account Maintenance screen.  You can get to this screen by going to:

General Ledger > Chart of Accounts > Account Maintenance 

To set up a new account, select the “New” button.  

Manually type in your account number.
Once you create your account number the remaining fields are populated for you. These are pulled from the account group definitions previously set up. The detailed description is created from the descriptions of each group component. If you do not wish to use this pre-built description you can manually update it.

Ensure the proper debit/credit is selected for default. This will also automatically populate based on your account group account type.

If you would like to use a project or tracking number, you can populate the correlating fields. If you would like the account to require a project number at the time of posting entries, check the “Require project #” option at the bottom of the screen.

For manual posting, DMSi suggests setting warning for your balancing accounts. Balancing accounts in Agility are AR, AP, AP Clearing, Inventory, Sales and COGS. Since Agility is an integrated system you generally will not be making manual journal entries to these accounts. With warnings, you will be allowed to do so, but it will prompt you first.

The account will default to active. If you ever need to inactivate an account, uncheck the “Active” flag. You can also assign you security criteria so that users can only select to post to certain accounts.

Each account can be assigned to all users, a single user, or a single user group.

Once you are finished click “OK” and the account will save.
